Last Month for 2014 Training!

2014 Online Training Tips and FAQs

As 2014 comes to a close, and we prepare for 2015, Compliance PhD wants to provide you with some helpful tips, and hopefully answer some common questions.

Tip # 1. 2014 Online Training can ONLY be completed in 2014. This means if you have employees who have not yet completed their 2014 Online Training, they only have until December 31, 2014 to complete their registered courses. Once the calendar changes to 2015, they CANNOT go back and complete 2014 courses. 

Compliance PhD will be changing the 2014 courses and loading new 2015 courses in their place.

Tip # 2. The Compliance PhD system will retain 2014 training records. Even in 2015, you can still go back and print 2014 Training Reports or Employee Certificates.

Q: Can I also print 2013 Reports and Training Certificates?

A: No. The Online System will only retain the current and '1' previous years' history.

Tip # 3. Ensure you have all Staffs' 2013 Training Certificates or Employee Progress Reports. You should already have record of these certificates, but take the time now to verify you have these records. Once the calendar changes to 2015, you will no longer be able to access 2013 records. 

Tip # 4. Register your Staff for 2015 courses as early as possible in 2015. Compliance PhD will load new 2015 Online Training courses from January 1st - January 4th, 2015. As soon as it is convenient, Training Supervisors should register all staff for 2015 courses. 

Q: How will I register my staff for 2015 Courses?

  A: Training Supervisors can register staff for 2015 courses (Starting in 2015) by:
     1. Login as the Training Supervisor
     2. Click on the "Staff" page.
     3. Click on Employee's Name
     4. Click the "Edit Profile" link.
     5. Select 2015 Course and Click "Save"

Q: Will my staff receive an email letting them know they have been registered?

  A: Yes. All staff will receive an email informing them of newly registered courses.

Q: What if my Staff can't remember their Login Information?

  A: Training Supervisors can either EMAIL or PRINT staff Member IDs and Passwords.

  To do this:
     1. Login as the Training Supervisor
     2. Click on the "Staff" page
     3. Check the box to the LEFT of Employee(s) name
     4. On bottom of Screen, check either the blue EMAIL or PRINT button.

Workplace Violence Training




Violence in the workplace is a serious issue that is on the rise in the healthcare setting.

Compliance PhD is happy to provide all current members with a new online Workplace Violence Training. This training is FREE for all current members. Training Supervisors can begin registering their Staff for this course effective immediately.



To register staff for this course:

1. Sign-In as the Training Supervisor
2. Click on the "Staff" page.
3. Click on a Staff Member's Name
4. Click the "Edit Profile" link
5. Check the box next to the Workplace Violence Training and click "Save."

Costly HIPAA Violations

Two Healthcare Providers have recently settled with Health and Human Services (HHS) over HIPAA Violations. At a combined total of nearly $2,000,000, these settlements could have been avoided by following some basic HIPAA Regulations.


1.  A Physical Therapy Office in Missouri settled with HHS for $1,725,220 over violations associated with a breach of patient Protected Health Information (PHI).

Violation Scenario:

A thief was able to enter the practice, and steal a laptop containing patient PHI. The healthcare provider had completed a Risk Analysis, and had determined that the practice laptops were at risk because they did not employ the use of encryption software. Additionally, physical security measures were not in place to discourage theft from the practice.

Deputy Director of Health Information Privacy stated, "Covered Entities and Business Associates must understand that mobile device security is their obligation."

2.  An Arkansas Health Plan settled with HHS for $250,000 after a laptop containing the PHI of 148 patients was stolen from an employee's car.

Violation Scenario:

A thief was able to access patient information after stealing a laptop out of a car. The employee laptop did not contain encryption software, and should not have been removed from the practice.

Deputy Director of Health Information Privacy stated, "Our message to these organizations is simple: encryption is your best defense against these incidents."

Both Covered Entities are required to complete an updated Risk Analysis, present their analysis to HHS, and to retrain all current staff on current HIPAA regulations; including safeguarding portable electronic media devices.

Training Course Updates.


Q: Can staff access 2013 courses?
A: No. It is our job to make sure you train on the most up-to-date information available. When the calendar switched to 2014, updates were made to all of the courses to reflect the most current regulations. This means, only 2014 courses are now available for training.  

Staff will still have access to view and print the previous years’ training certificates, but the 2013 training links will be inactive.

Q: Do I need to register my staff for the 2014 courses?
A: Yes. Staff will need to be registered for the 2014 courses you would like them to take. In addition to including 2014 regulations, we have made some significant changes to the 2014 Course Outlines. 

OSHA has now been divided into its 4 standards; each serving as its own training. 
BLOODBORNE PATHOGENS, GENERAL SAFETY, HAZARD COMMUNICATIONS, REGULATED WASTE. We also combined the Patient Interaction Course with a Phone Etiquette Course. This new course is called: Patient Communications. 

Q: Do I need to pay for 2014 Courses?

A: No. All Current Members of Compliance PhD have access to all the newly updated courses at No-Cost. 


Q: How do I register my staff for 2014 courses?

A: Training Supervisors can register staff by:
      1. Sign-In
      2. Click on the "Staff" Link
      3. Select Employee's Name
      4. Click "Edit Profile" and Select Courses

Q: Will the online courses change?
A: Yes. Compliance PhD is constantly monitoring Federal Regulations to ensure your online training is up-to-date with current regulations. The online Training courses will be updated to reflect those changes; including HIPAA Omnibus Rule and OSHA's Hazard Communication conversion to the Globally Harmonized System (GHS) of Chemical Classification.
Training is also updated in order to facilitate a more pleasing online training experience.  

Q: How often does my staff need to complete training?
A: OSHA and HIPAA training must be completed by each staff member at least every 12 months.  Staff involved with the billing of Medicare should also complete the Fraud, Waste, & Abuse Training at least every 12 months.

Q: Can I still print 2013 Certificates and Reports?
A: Yes. The online system maintains the history of your previous year’s activity. Training Supervisors may view and print reports and employee certificates from 2013. Only the previous year’s history is maintained, so it is important to print an Office Report at the End of each year to keep on file.
